Office Manager
AdventureSmith Explorations seeks a highly motivated individual to manage our dynamic sales office. The primary responsibilities of the office manager are to provide excellent customer service to our clients, and wide-ranging internal support across departments. They will be responsible for screening, organizing, and distributing communication. The position will assist in Sales, Accounting, Content and Marketing departments with general tasks.
The position requires exceptional communication and organizational skills. The office manager will answer multiple phone lines, assist in sales and client operations, perform data entry, process information requests, assemble mailings and manage office organization and supplies. Accuracy and attention to detail are essential, as is customer service experience. The successful Office Manager must possess the following skills and experience:
- Worked in office management, high volume customer service or the luxury travel industry.
- Strong written and verbal communication skills.
- Excellent organization, a high level of accuracy and attention to detail.
- Ability to multitask and enjoy frequently changing tasks.
- Willingness to learn new skills/tasks and ability to learn quickly.
- Typing/data entry speed and accuracy – 60 words/min.
- Experience with Microsoft Office software is a must. Experience with WordPress, Adobe, Photoshop and Lightroom a plus.
- Experience in Salesforce or similar Customer Relationship Management database applications a plus.
- A passion for excellent customer service.
- Adventure travel or expedition cruising experience a plus.
Duties Include:
- Answer telephone calls and manage multiple companywide email address(es), distributing/transferring to appropriate team members.
- Review client forms and fulfill general informational requests.
- Greet walk-in clients, delivery people, sales representatives, and office guests.
- Process all incoming and outgoing mail.
- Assist with simple website content publication, including customer testimonials and operator special offers.
- Provide administrative support to managers, sales staff, accounting, content and marketing as requested.
This is a full-time office position based in Truckee, California with health insurance, 401K, paid vacation and travel perks.
